VAKT standardizes inspector and terminal data enabling users to generate required insights from structured data

Tuesday, April 29, 2025

In today’s complex post-trade environment, actuals reconciliation often involves unstructured, inconsistent data flows — with inspector and terminal reports arriving in varying formats, through fragmented channels, and requiring manual reconciliation.

vActuals by VAKT is designed to change that. By standardizing actuals data from inspectors, terminals, and even refineries, we help operations teams eliminate inefficiencies and unlock smarter workflows, enabling faster, more accurate, and fully auditable reconciliations.

Existing Success

VAKT has APIs with several inspectors to directly source data from the inspector systems, removing the necessity for sensitive data being shared over email in inconsistent formats.

More recently, VAKT have developed AI functionality to parse all inspector and terminal data onto VAKT’s reference data and formats, resulting in customers being able to leverage out of the box data standardization.

What does this mean?

Data is shared in many ways and at times often requires manual effort to translate this data into a format that oil companies can use. VAKT’s out of the box functionality removes that effort:

·      Digital inspector data: existing partnerships with SGS, AmSpec, Bureau Veritas and Camin Cargo mean these inspectors can share data in a secure, digital, blockchain encrypted manner, straight from their source systems.

·      VAKT inbox and AI document reading: for all documents shared over email, VAKT has an inbox and AI functionality that can automatically read any document received — from terminals, refineries, or surveyors — and map the data onto your internal reference structures for validation and audit.

·      Flexibility on integration: customers can API into VAKT and get all data directly into ETRMs or they can use the VAKT UI to visualize the data and extract that data into CSV/Excel format to use in BI tools for reporting etc.

·      Global and x-product coverage: VAKT delivers this functionality across all modes of transport for oil; other commodities like metals and LNG are being developed.

Use Cases & Benefits

·      Loss Control: Eliminate copy-paste reconciliation and manual data entry from reports into internal systems

·      Demurrage: Accelerate calculation timelines by removing any data translation and having all information in one place

·      Operations: Remove email-based error handling onto an encrypted digital channel, with all information at hand

·      Compliance & Audit: Access full logs and version control

VAKT’s vision – no more manual processes

VAKT believe loss control, demurrage, logistics and analytics teams should focus on resolving key issues — not keying in data.

By making actuals instantly usable, reconcilable, and report-ready, we empower these teams to benefit from faster reconciliation cycles, higher auditability, and more reliable data to base decisions on.

In summary teams can act faster and smarter — with total confidence in the data they work with.
